Tenant Checklist

Location

When choosing a property, you should try to look for an area that is convenient for you i.e. close to university, local amenities, transport links etc. Check our area guides for more information

Know your Budget

It is important to know how much you can afford monthly on the rent. You must remember that you will also be liable to pay for your own utilities (unless bills are included) i.e. gas, electricity, water and TV licence. Budgeting is essential

Agency Fee

If you wish to put in an application for a property, you will be expected to pay an agency fee + 1st months rent per person. This fee takes the property off the market meaning it’s yours to tenant. This fee is non-refundable so make sure you are serious about taking the property

Rebook Property for next Academic Year

If you like the property you are tenanting and would like to stay for the next academic year, contact us asap so we don’t readvertise the property

Additional Copies of Inventory

£20

You will be provided with one copy of an inventory before you move in. If you lose this we will expect you to pay for any additional copies that you may require

Additional Copies of Tenancy Agreement

You will be provided with one copy of a tenancy agreement before you move in. If you lose this we will expect you to pay for any additional copies that you may require

Lost Keys

If you lose your keys we will charge you for a replacement. This may result in the locks being changed which is a higher price

If you are vacating one of our properties, and require a reference for your new home, you will need to pay this fee in order for your reference to be completed

Getting Started

How do I book a viewing?

Make a list of the properties you would like to see and give us a call to arrange a viewing.

We can show you as many properties as you like, all in one viewing. Don’t worry if you don’t have transport – we can meet you at the property, or you can meet us at the office and a member of the Lettings Team will take you to the property.

We will arrange accompanied viewings 5 days a week (Mon-Fri 9am-5pm evening and weekend viewings available upon request) at a time that suits you.

Do I need to meet the landlord?

In most cases you will not meet the landlord as we are the agents, you deal with us. We will manage all negotiations between yourself and the landlord and ensure all the paperwork is completed for your tenancy.

I want to take the property, what do I do now?

Once you have confirmed that you want to take the property for the agreed rent we will organise a day for you all to come into the office. You will be required to complete an application form and sign 3 copies of the tenancy agreement.

Each of you will need to bring:

  • Agency fee of £72
  • A payment of the first month’s rent
  • Guarantor details (name, email address & contact number)
  • Copy of student ID
  • Course confirmation (email from uni or student finance letter etc)
What is an inventory?

On your move in date you will be provided with an inventory accompanied with photographs. This is one of the most important documents in the renting process and can often be key in deciding how much of your deposit you get back at the end of your agreement. You should therefore be extremely thorough and give it your full attention, while taking the necessary precautions to protect your interests. You must sign and return the inventory, with any ammendments you wish to make, to us within 7 working days of receiving it.

Moving In

Your keys will be available to collect from our office on the day your tenancy commences but you can collect them at a later date if you wish. We take meter readings for the property from the day your tenacy starts. We want to make the move in process as simple and easy as possible for you so we contact the utility companies to inform them of you moving in. You are then responsible to pay these bills from the day the tenancy agreement starts.

Signing Tenancy Agreements

The tenancy agreement is a contract between you and the landlord. It specifies certain rights to both you and the landlord, such as your right to live in the home for the agreed term and your landlord’s right to receive rent for letting the property.

You will sign 3 copies of your Tenancy Agreement. One will be kept by you, the landlord keeps one and we have one on our files.

Costs

What is an Agency Fee?

All agents charge an Agency Fee. As soon as you pay this fee the property is taken off the market and is held for you. The fee also covers all paper work, contracts and any other administration.

Our fees are £72 inc VAT per student (Non refundable)

Please be aware that you also have to pay the 1st months rent which is the holding deposit.

Do I need to pay a deposit?

For all of our student properties, each student needs to pay £250 damages deposit by mid June. This is fully refundable at the end of the tenancy providing there is no damage or cleaning to be done to the property caused by yourself. As required by the amended Housing Act 2004 in April 2007 all of our deposits are held in a statutory deposit protection scheme. We use the Deposit Protection Service. Maintenance

I have a maintenance issue, what do I do?

If you rent a let only property, your maintenance issues will be dealt with by your landlord. We will give you your landlord’s details when you move into the property.

If we manage the property that you rent we will deal with any maintenance issues you have. Email your issue to maintenance@katiehomes.co.uk and we will get it sorted for you as soon as possible. In your email include; the property address, your name and contact number, the issue and, if possible, photos of the issue to help us rectify the problem.

Please be aware that we will prioritise issues in order of severity.

Extras

The Tenant Shop

Katie Homes has teamed up with Tenant Shop to streamline your registration process with the local council, water supplier and energy provider. Tenant Shop will notify all the necessary organisations that you have arrived and provide your contact information, moving in date and meter readings where applicable. With your permission, they will then compare utility companies to find you the best deals on electricity, gas and water as well as media coverage i.e broadband and TV packages. This service is completely free

Rent4Sure

We have partnered with Rent4Sure who offer you Tenant’s Liability Insurance. This insures any of the landlord’s fixtures and fittings that you may be responsible for against accidental damage as well as giving you the option to extend this cover to your own contents. Ask a member of staff how to apply or simply pick up a leaflet from our office.

Moving Out

Moving Out

We will arrange to meet you at the property to conduct a move out inspection. This has to be done on or before the last day of your contract. If your move out date is on the weekend, we will meet you at the property the following Monday.

As long as the condition of the property is to a good standard, barring normal wear and tear, and clean, as stated in your inventory, you will receive your deposit back in full.

Here’s what you should do:

      1. Give the property a thorough clean throughout, including carpets, windows, walls and furniture
      2. If it’s your responsibility, tidy up the garden and clear away any rubbish
      3. Return all of the keys to the landlord or agent (depending on who manages the property)
      4. Remove all of your personal belongings
      5. Be satisfied you’re leaving the property in a good and clean condition
Deposit Return

At the end of your tenancy, we will conduct a move-out inspection to check the condition of the property. If we are happy that the property is in the same condition as stated on the inventory when you started your tenancy, minus wear and tear, and there are no costs to deduct for maintenance, we will refund you your whole deposit within 14 days of you leaving the property.

If, however, the property is not in a reasonable standard, we will deduct an amount from the deposit to cover any maintenance costs.
